This policy explains what personal data EveryLoading ("we") collects when you use everyloading.com and its API, why we collect it, and the choices you have. We keep data collection to what the service needs.
Who we are
EveryLoading is operated by Wolfiz Limited, the data controller for the personal data described in this policy:

What we collect
- Account data: when you sign in with Google we receive your name, email address and profile picture. We never see your Google password. If you sign up with email and a password, we store your email, the name you give (optional) and a secure hash of your password, never the password itself. We also ask every account for a mobile number, so our team can help you get started and answer support questions.
- Load plan data: the vehicles, cargo items and placements you save, so you can reopen them.
- Billing data: if you subscribe, Stripe processes your payment. We store your Stripe customer ID, plan and subscription status. We never receive or store your full card number.
- API usage: for developer API keys, a hashed copy of the key, its usage count and last-used time.
- Usage analytics: Google Analytics and Microsoft Clarity (see Analytics and session recordings).
- Advertising measurement: Google Ads and the Meta Pixel, when we run ads (see Advertising).
- Chat conversations: the questions you ask our chat assistant and its answers, and the email and name you give if you ask to talk to a person (see Chat assistant).
- Contact form messages: your name, email, company, mobile number and message (see Contact form and emails).
Cookies and local storage
- Essential cookies keep you signed in (
access_token,refresh_token) and protect against cross-site request forgery (csrf_token). - Analytics cookies are set by Google Analytics (
_ga,_ga_*) and Microsoft Clarity (_clck,_clskand related cookies) when you visit the site. You can block or delete cookies in your browser settings. - Advertising cookies are set by Google Ads (
_gcl_*) and the Meta Pixel (_fbp,_fbc) while we run ads. - Local storage briefly holds your unsaved plan while you sign in, so nothing is lost. It is removed once you are back in the planner. It also remembers your cookie choice and your current chat conversation.
Analytics and session recordings
We use two analytics tools to understand how the site and planner are used and to fix problems. Both load when you visit. We never use either tool for advertising.
- Google Analytics 4 (Google Ireland Limited) records which pages you visit and which features you use (for example "optimize" or "export PDF"), with your approximate location, device and browser. We see this data in aggregate.
- Microsoft Clarity (Microsoft Corporation) creates heatmaps and session recordings: a replay of mouse movements, clicks, scrolling and the pages you view. Clarity masks text you type into form fields.
Analytics data is kept no longer than each tool allows (Google Analytics: at most 14 months; Clarity: session recordings about 30 days, other data at most 13 months). You can block these cookies in your browser settings.
Advertising
When we advertise on Google or on Facebook and Instagram, we use the Google Ads tag (Google Ireland Limited) and the Meta Pixel (Meta Platforms Ireland Limited) to measure which ads bring visitors who sign up, start a subscription or contact us, and to show our ads to people who visited our site. They load when you visit. We never share your load plans with them.
Chat assistant
The chat assistant on our website and in the planner answers questions from our FAQ, user manual and plan details. Every conversation is stored on our servers and our team can read it, so we can improve the answers and follow up on questions. Please do not share sensitive personal data in the chat.
- When the AI-written answers are switched on, your question and the matching help articles are sent to Google Gemini (Google's generative AI API) to write the reply. Google processes this data on our behalf.
- If you choose "Talk to a person", your email, optional name, note and the conversation are sent to our sales team so they can reply.
- We keep conversations only as long as they are useful for support, and delete them on request. Our lawful basis is our legitimate interest in answering your questions and improving support.
Contact form and emails
- Contact form: what you send (name, email, company, mobile number, message) is stored in our database and emailed to our sales team at sales@everyloading.com, with your email as the reply-to address. We use it only to reply and to follow up on your enquiry, and delete it on request.
- Transactional emails: we send emails that are part of the service, such as account creation, email verification, password resets, payment receipts, renewal and trial reminders, failed payments and cancellations. We keep a log of what was sent (recipient, type, time and delivery status) to resolve support questions. These are not marketing emails and are sent as part of providing your account.
Why we use it
- To provide the service: sign-in, saving and restoring plans, generating PDFs.
- To bill subscriptions and send invoices.
- To improve the product and fix problems.
- To reply when you contact us through the contact form, the chat assistant or email.
- To send service emails about your account and subscription.
We do not sell your personal data, and we do not use your load plans for advertising.
Who we share it with
- Google for sign-in, analytics and ad measurement and, when enabled, AI answers in the chat assistant (Gemini).
- Microsoft for Clarity analytics and session recordings.
- Meta for measuring our Facebook and Instagram ads.
- Our email provider, which delivers transactional emails and contact-form notifications.
- Stripe for payments, invoices and tax handling.
- Our hosting provider, which stores the database on our behalf.
How long we keep it
We keep your account and saved plans while your account is active. If you ask us to delete your account, we delete your profile and plans within 30 days. We keep billing records for as long as tax law requires.
Your rights
You can ask for a copy of your data, ask us to correct it, or ask us to delete your account. Email sales@everyloading.com from the address you sign in with. If you are in the EU, UK or a similar jurisdiction, you can also complain to your local data protection authority.
Changes
If we change this policy in a meaningful way, we will update the date above and tell signed-in users in the app.
